Payment Policy

This Payment Policy explains how billing works for SMB HQ subscriptions and services. It forms part of our Terms & Conditions.
1. Plans and billing
- SMB HQ plans are subscriptions billed in advance on a monthly or annual basis, as shown in your order or plan.
- Subscriptions renew automatically at the end of each billing period until you cancel.
- Some plans include a one-time setup or onboarding fee, which is billed when your plan starts.
- Usage-based charges, such as phone minutes or text messages above your plan's included amount, are billed in arrears if they apply to your plan.
2. Accepted payment methods
- Credit and debit cards, processed securely by our payment processor. We do not store full card numbers.
- Bank transfer or wire for annual plans and invoiced accounts. Include your invoice number with the payment.
3. Payment terms
Card payments are charged at the start of each billing period. Invoices are due on receipt unless your order says otherwise.
If a payment fails, your agents are paused the same day until the payment goes through. We will email you and retry the payment, and your agents resume as soon as it succeeds. Invoices not paid by their due date may be charged a late fee of up to 10% of the overdue amount where permitted by law.
4. Taxes
Prices do not include taxes. You are responsible for any sales, use, VAT or similar taxes that apply, which we will add to your invoice where required.
5. Price changes
We may change prices for future billing periods. We will give you at least 30 days' notice by email, and you can cancel before the new price takes effect.
6. Billing questions and disputes
If you think a charge is wrong, email [email protected] within 30 days of the charge. We will review it and correct any billing error. Please contact us before disputing a charge with your bank.
